Can I specify a number to be my dedicated fax line?
Yes, you can specify a number to be your dedicated Phone.com™ Virtual Office fax line. To choose this option for an already existing number, visit the Numbers section of your account and select the Settings icon. From the Number Action section, select the option to Receive Fax.Please note that one number only can be designated as a fax line. If you want to use your current business line plus a fax line, you will need to purchase an additional number.

How do I send a fax using my Virtual Office number?
To send a fax with your Phone.com™ Virtual Office number, please login to your Phone.com account and select the Extensions option from the menu bar then locate the Inbox icon located to the right of the extension you wish to work with. On the Inbox page, click the Send a Fax button on the right side of the screen. Enter the following information:

  • Fax Number you are sending to
  • Cover page information (optional) which includes your name, company name, subject, date, time, from name and a section for notes.
  • Email address to receive confirmation the fax was sent

Select the “Browse” button to locate the file on your computer then Preview your Fax. Once the fax looks good, click the Send Fax button.

How can I view my faxes?
When you receive a fax, it will be accessible from within the Extensions section of your account. Select on the Inbox icon to view your fax messages. An email notification can also be sent and the fax can be viewed as a PDF on your computer.

Do faxes count toward my minutes?
Yes, receiving faxes and sending faxes do count toward your alloted minutes. If you exceed the minutes alloted with your Phone.com™ Virtual Office plan, you will be charged for the overage. Check out our pricing and plans to upgrade your service.

Do I need an adapter to plug into my fax machine?
No hardware necessary! With Phone.com™ Virtual Office, you do not need an adapter for your fax machine to send or receive faxes. All of your received faxes will be viewed online in PDF format.

Are there any additional fees if I choose to have one of my numbers as a dedicated fax line?
There are no additional fees, but there is a monthly charge if you add a new number or exceed the alloted amount available in your Phone.com™ Virtual Office package.

Can I print out faxes that I receive?
Yes, the faxes are downloaded in the PDF format and you will have the option to print the fax from your computer. Please make sure you have a working printer connected to your computer.

Can I forward faxes to a specific extension?
The Receive Fax option allows a phone number to be a dedicated fax line. After selecting this option from your Number Action, select the extension mailbox you would like the faxes to be delivered. You can also download the PDF fax to your computer hard drive and attach it to an email to forward to anyone you want.

What type of format can be faxes downloaded?
Faxes can be downloaded in the PDF format.

I am confused about how to use a fax. How will the service work with my Phone.com™ Virtual Office number?
If you intend to use your Phone.com™ Virtual Office to receive calls and faxes, it is recommended to purchase a package with at least two numbers included. This way, you can have one number as your designated fax line and one number as your main business line. When a fax is sent to your number, it will be stored in your Phone.com online control panel in the PDF format. Login to your Inbox to view/download/delete any of your faxes. You can also have the fax emailed to your email address, allowing you to download the fax to your computer’s hard drive. Keep in mind that this service is to receive faxes–not to send faxes.

Can a fax notification be forwarded to more than one email address?
Yes, you can receive a fax email at more than one location. When editing your Voicemail and Fax notification settings, select the option to receive a notification via email. Separate multiple addresses with a comma.

How many attachments can I include when I send a fax?
The current limit is 5 attachments per fax.

Is there a limit to the amount of faxes I can receive per day?
Currently, we have no limit to the amount of faxes you can receive per day. Remember, for each fax sent through your Phone.com account, one minute will be deducted.

Can individual extensions login to send a fax?
Yes. Individual extensions can login to their Phone.com extension management, which allows access to the Send Fax program. To login as an extension, please visit our Login screen and select Extension from the side column or, click here.

What acceptable formats can I send my fax?
You can send a fax in the following accepted formats: bmp, gif, jpg, pdf, txt, doc, xls and html. We currently do not accept the .docx format (the document will need to be saved in the Office-97 doc format to be accepted).

Is the Phone.com Virtual Office fax service available for an additional fee?
Actually, no. Your Phone.com Virtual Office fax service is INCLUDED with your Virtual Office package. There are no extra fees associated with sending and receiving faxes. Keep in mind that if you exceed your allotment of minutes per month, you will be charged overage fees according to which plan you are using.
